Summary
We are seeking a motivated and detail-oriented Operations Administrator to provide essential support across multiple areas, with a primary focus on export compliance, quality management, and various administrative projects. The ideal candidate will have strong organizational and communication skills, a keen attention to detail, and the ability to handle multiple tasks efficiently. This role is critical in ensuring the company’s operations comply with export regulations, maintain high-quality standards, and execute administrative projects effectively.
Salary Range: $60k – $70k annually, depending on experience and qualifications
Essential Duties & Responsibilities
Export Compliance
- Assist in ensuring compliance with all relevant export regulations, and applicable laws.
- Maintain accurate records of export documentation, licenses, and shipments, ensuring that all necessary export paperwork is complete and filed appropriately.
- Support the preparation and submission of export license applications and work with internal teams to ensure proper classification of products.
- Assist in keeping up to date with changes in export regulations and quality standards, ensuring that the company adapts to any legal or industry shifts.
- Support the review and improvement of internal processes to maintain ongoing compliance with relevant laws and regulations.
Quality Support
- Assist in maintaining and updating quality management documentation, including standard operating procedures (SOPs), work instructions, and quality records.
- Support the tracking and resolution of quality issues, non-conformances, and corrective actions.
- Coordinate and assist with internal audits, inspections, and certifications (e.g., ISO9001), ensuring all required documentation and records are up to date.
Administrative Support for Operations
- Manage general administrative tasks such as document preparation, data entry, and correspondence to support day-to-day operations.
- Coordinate cross-functional projects, track progress, and ensure deadlines are met.
- Assist in managing and organizing operational meetings, including scheduling, preparing agendas, and taking meeting minutes.
- Help in compiling reports and presentations for management, summarizing key activities, and providing insights on operational performance.
Process Improvement
- Assist in identifying inefficiencies or gaps in current processes, contributing to efforts aimed at continuous improvement in operations, compliance, and quality control.
- Work with various departments to ensure seamless process flow and timely execution of tasks.
Qualifications
Required
- High school diploma or equivalent required; Associate’s degree or higher in Business Administration, International Trade, Quality Management, or a related field is preferred.
- Minimum of 2 years of administrative experience, preferably in export compliance, operations, or quality management.
- Familiarity with export compliance regulations (EAR, ITAR) and quality management systems (e.g., ISO 9001:2015) is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Salesforce a plus.
- Experience with export compliance software, QMS systems, and/or project management tools is beneficial.
- Strong organizational skills and keen attention to detail to ensure accuracy and compliance in all aspects of the role.
- Excellent verbal and written communication skills, with the ability to collaborate effectively with cross-functional teams and stakeholders.
- Ability to identify challenges and contribute to finding solutions or improvements in operational, compliance, and quality processes.
